Terms and data processing

1. About the service
VISITUX is a system for customer visits and route planning for companies with field employees. The company creates customers, service agreements and employees. The system calculates routes and distributes visits across the company's working days.
2. Access and accounts
- Companies are created by the company owner.
- Employees are invited by email and choose their own password on the company login page.
- Passwords are highly encrypted.
- The company is responsible for deactivating employees who should no longer have access.
3. Route calculation
Routes and driving times are calculated by our own servers in the EU. The map in the user interface uses map tiles from OpenStreetMap, where the browser loads images directly from openstreetmap.org.
4. Personal data
We process the following data to deliver the service:
- Employees: name, email, phone, role, password (hash) and time of last sign-in.
- Customers: company name, contact person, address, phone, email and notes.
- Visits: planned time, status (started/completed), timestamp and optionally a position when the status changes.
The company is the data controller for customer data. VISITUX is the data processor and processes the data on the company's instructions. Processing takes place within the EU/EEA.
5. Storage and deletion
Data is stored while the company's subscription is active. On termination, data is deleted or handed over by agreement. Some data may be stored longer if required by law, for example accounting.
6. Subscription and payment
Plans are per company. Free includes up to 50 active agreements across all your companies, including Pro companies. Pro costs 7 EUR per active employee per month (plus VAT in EU). Each company has its own payment card and invoices. The first payment is made through Stripe Checkout, and the saved card is charged automatically each month. Invoices are issued after a successful payment and are available in the admin. Pro can be cancelled at the end of the current period; the current period is not refunded.
A company can connect its own Stripe account to charge its customers for visits. The company is the merchant of record for those payments, sets the price and VAT rate, and is responsible for refunds, receipts, disputes and any taxes. The customer's card is stored on the company's Stripe account. VISITUX reserves the amount when the company requests payment, captures it when the visit is completed, and keeps a platform fee of 0.5% of the amount including VAT. Skipping a visit cancels the reservation and never charges the customer.

7. Security
Access requires sign-in. Data is transferred encrypted. We use industry standard security measures to protect data, including firewalls, encryption and access control. We cannot guarantee that data is completely secure, and the company is responsible for protecting its own account and employees' accounts, for example by using strong passwords and not sharing them. Employees should not use the same password for VISITUX as for other services.
8. Your rights
You can request access to, correction of or deletion of your personal data. Contact the company if you are their customer, or contact us at support@visitux.com.
